Overview
In some situations, more than one household needs to register and view all activities for a member of another household. Here's where RecDesk can help! After receiving approval/confirmation from all households involved, Administrative Users in RecDesk Director (Directors and Assistant Directors) can Link a Member of their household with Another Household. This will allow both households to register the linked member for programs, and both households can view the linked member's calendar containing all their activities, regardless of who registered them. Heads of Households of both households will also receive roster emails/SMS text messages and will be able to register approved waitlisted members. In this article, you will learn how to link a member with another household.
Before You Start
If you have duplicate member accounts that you need to combine, it's best to do that first; see How do I Combine or "Merge" Duplicate Accounts?
Both the primary household of the member and the linked with household of the linked member must have someone marked as "Head of Household" or emails won't be received.
From the Dashboard, click on the Member tab and search by last name for the member you wish to link with another household.
Linking a Member with Another Household
- Go to the Members tab and search by Last Name for the Member you would like to link to Another Household or Organization;
- Select that Member and scroll down to the bottom of their Member profile;
- Click on the Member Actions drop-down at the bottom-right;
- Select Link Member with Another Household from the drop-down;
- Enter the first few characters of the last name of the Member account being joined and select it from the list. Click on the Link Now button.
Once the link is complete, that member will show Yes under Linked With / To and will see the household they are linked with will display under Gender in the Member Info section.
Unlinking a Member with Another Household
- Go to the Members tab and search by Last Name for the Member you would like to unlink from Another Household or Organization;
- Select that Member and scroll down to the Member Info section of their Member profile;
- You will see all current households with which that member is currently linked just below Gender;
- To Unlink the member from a household, click on Remove Link beside the household to unlink;
- A popup will display asking if you are sure you want to stop linking that member with the other household;
- Click OK to confirm.
Once the member is unlinked from another household, the Yes under Linked With / To and the household they were linked with will no longer appear in the Member Info section.
Notes:
- Linking a member with another household will allow both households to register the linked member for programs, and both households can view the linked member's calendar containing all their activities, regardless of who registered them. Heads of Households of both households will also receive roster emails/SMS text messages and will be able to register approved waitlisted members.
- All Invoices will be created by and can only be viewed/paid by the household that initiated the registration for the linked member(s).
- Only the main household where the member resides can edit the member's profile.
- When a waitlisted linked member is approved for online registration, all members with online credentials and valid email addresses from BOTH households will receive the email notification of the approval, and BOTH can register the member online.
